Prepare Before a Teleconference

If you’ve been invited to attend a teleconference you need to be proactive to ensure you get the most out of the meeting.  Look into closing out any unwelcome noises by booking a meeting room with your serviced office provider, actively reduce any interruptions and make sure you are prepared so you can take an active role in the discussion.

Here are some tips for a good teleconference:

  • Use a landline rather than a mobile phone as this will provide better sound quality and take the teleconference in a closed room.  If you have serviced office space book a meeting room in advance.
  • If you have to use a mobile phone make sure you’ve charged the phone before the conference and that you have a good enough signal.  If possible switch the ringing tone to off and use a headset.  This can dramatically reduce background noise such as traffic, office chatter and phones.
  • If you’re taking the call in an office put up a sign to say ‘Do Not Disturb.  Conference in Progress.’ 
  • Make sure you’ve visited the loo before the conference starts.
  • Swot up on the meeting agenda, technical specifications, meeting documentation and any etiquette rules prior to the teleconference.
